Support Your NHS Client Assurance
Clear screening records help you demonstrate the checks completed on the people you're supplying.
Actual Experts. Real Support.
When your NHS client asks for screening evidence, you shouldn't have to become an expert in every employment-checking standard yourself.
Winning an NHS or healthcare contract is one thing.
Getting your employees cleared and ready to work on site can be another.
NHS organisations operate within defined NHS Employment Check Standards designed to help ensure that people working within healthcare environments have undergone appropriate pre-employment checks.
These standards don't apply only to doctors and nurses.
They can also be relevant to temporary workers, agency workers and people supplied through third-party contractors.
That means your NHS client may require assurance that appropriate checks have been completed before your employees can begin work.
You deliver the contract. We help manage the screening behind it.
Checking Your Staff supports businesses supplying employees and contractors into NHS and healthcare environments, including:
Security officers, CCTV operators, reception security and other personnel deployed across NHS sites.
FM employees working across hospitals, clinics, offices and wider healthcare estates.
Cleaning and specialist cleaning teams working within healthcare environments.
IT engineers, support teams, infrastructure specialists and other technology personnel requiring access to NHS premises or systems.
Electrical, mechanical, building services and other engineering personnel working within healthcare estates.
Organisations supplying temporary, contract or permanent workers into NHS and healthcare organisations.
Employees delivering catering, logistics and other contracted support services.
If you're supplying people into an NHS or healthcare environment, we can help you establish and manage the appropriate employee screening.
NHS Employers sets out six Employment Check Standards covering:
Identity Checks
Confirming that the individual is who they say they are.
Confirming that the individual has the legal right and permission to undertake the work in the UK.
Completing the appropriate level of criminal record screening where the role is legally eligible.
Verifying employment and/or training history and obtaining appropriate references.
Verifying registration and qualifications where these are required for the role.
Ensuring appropriate work health assessment processes are completed where required.
The checks required for an individual contractor will depend upon their role and the work they will actually undertake.
Not every contractor needs exactly the same screening package.
Where NHS organisations appoint temporary workers supplied through agencies, contracting companies or other third-party staffing providers, they need appropriate assurance that the required employment checks have been completed.
For contractors, this makes good screening more than an internal HR exercise.
Your screening records may form part of the assurance you provide to your NHS client.
Checking Your Staff can help create a consistent screening process and provide clear evidence of the checks we've completed.
Identity is the foundation of the NHS employment checking process.
Before relying on criminal record, Right to Work or employment information, organisations need confidence that they are checking the correct individual.
Checking Your Staff can support identity verification as part of the wider employee screening process.
This helps create a consistent link between the individual, their documentation and the checks being completed.
Depending upon the candidate, the appropriate process may include:
Other prescribed routes depending upon the individual's circumstances
Checking Your Staff helps manage the appropriate checking process as part of your employee onboarding.
Every employer must establish that the people it employs have the appropriate Right to Work in the UK.
Home Office online Right to Work checks
Manual Right to Work processes where appropriate
Some roles within healthcare environments are eligible for higher levels of DBS screening.
Depending upon the work being undertaken, this may include:
Basic DBS
Standard DBS
Enhanced DBS
Enhanced DBS with the appropriate Barred List check where legally eligible
The level of DBS check isn't determined simply by somebody working within an NHS building.
Eligibility depends upon the role, duties and circumstances.
Our screening team can help you understand and process the appropriate criminal record checking route.
Employment history and reference checking form part of the NHS Employment Check Standards.
Checking Your Staff can help manage:
Rather than simply sending automated requests, our team actively manages outstanding information to help keep candidates moving through the screening process.
Employment references
Employment gaps
Outstanding reference requests
UK criminal record checks don't necessarily provide information about offences committed in other countries.
Where a worker has lived or worked overseas, additional checks may therefore be required or appropriate.
Checking Your Staff can provide international criminal record checks on request.
Availability, documentation requirements, cost and turnaround vary depending upon the country involved.
Our team can help identify the available screening route.
Some healthcare roles require individuals to hold registration with an appropriate professional regulatory body.
NHS Employment Check Standards require relevant healthcare professionals to have their professional registration verified before starting employment.
Qualifications may also need to be verified where they are essential to the role.
For contractors providing non-clinical services, these requirements may not apply.
Again, the screening requirements should be based on the actual role being performed, rather than applying a generic NHS screening package to everybody.
Work Health Assessments
Work health assessment is one of the six NHS Employment Check Standards.
Its purpose is different from identity, criminal record or employment-history screening and appropriate occupational health processes may need to be completed depending upon the role and working environment.
Where your NHS contract requires occupational health clearance, this should form part of the wider onboarding process.
Speak to us about the checks we manage directly and those that may need to be completed through your organisation, NHS client or occupational health provider.
Some healthcare contractors may choose to add professional Social Media Checks to their wider employee screening programme where this is relevant and proportionate.
Checking Your Staff uses specialist technology from Fama to review relevant publicly available online information against defined workplace behaviour criteria.
This provides a structured alternative to individual managers informally searching candidates online.
Security contractors working within NHS environments can have overlapping screening requirements.
Your security personnel may already require BS7858 screening, while the NHS contract may require additional evidence or checks appropriate to the healthcare environment.
Checking Your Staff can help bring these requirements together.
Instead of running entirely separate vetting processes, we can help coordinate the relevant screening around the employee and role.
Identity screening supporting a consistent pre-employment process.
Appropriate digital and online Right to Work verification.
The appropriate level of criminal record screening according to role and legal eligibility.
Where the individual and role meet the appropriate legal requirements.
Employment verification, references and management of gaps and discrepancies.
Overseas criminal record screening available on request.
Complete security screening for security personnel and other appropriate roles.
Structured screening of relevant publicly available online information.
Available where financial screening is relevant and proportionate to the role.
Additional checks can be incorporated according to the role and your client's requirements.
What will the individual be doing and within what type of healthcare environment?
Identify the checks required by the role, your organisation and your NHS client.
Candidate information is collected securely.
Identity, Right to Work, DBS, referencing and other appropriate screening is processed.
Our screening team manages missing information, discrepancies and outstanding requirements.
The relevant screening results are brought together to create a clear record of the checks completed.
You have clear screening information to support the assurance required by your NHS or healthcare client.
Contractors don't make money while employees are waiting to get onto site.
Missing references, incorrect DBS applications, incomplete Right to Work information and uncertainty over the checks required can all delay deployment.
Checking Your Staff helps manage the process so your operations team doesn't have to spend its time chasing candidates and different screening providers.
The right checks. Clear evidence. Your people ready to work.
The NHS Employment Check Standards apply broadly across appointments in the NHS and include temporary workers supplied through agencies and other third-party contractors. The precise responsibilities and assurances required will depend upon the arrangement between the contractor and NHS organisation.
No. Working within an NHS building does not automatically make somebody eligible for an Enhanced DBS check. DBS eligibility depends upon what the individual actually does and the circumstances in which they perform the role.
Yes. Send us the screening requirements supplied by your client and we can establish which checks Checking Your Staff can complete and how they can be brought into a managed screening process.
The six standards cover: Identity, Right to Work, criminal records, employment history and references, professional registration and qualifications, and work health assessments. The exact requirements applicable to an individual depend upon their role.
Only where professional registration is relevant to the role. For example, regulated healthcare professionals need the appropriate professional registration verified. A cleaner, security officer or IT technician would not automatically require a healthcare professional registration check simply because they work within an NHS environment.
Additional overseas screening may be required or appropriate depending upon the worker's history and role. International criminal record checks are available on request, subject to availability within the relevant country.
Yes. This can be particularly useful for security companies supplying officers into NHS environments. We can manage BS7858 alongside other appropriate checks required for the healthcare contract.
Yes. Checking Your Staff supports individual checks as well as ongoing workforce screening. For organisations regularly recruiting and deploying employees across NHS contracts, we can help create a consistent screening process.
Whether you're a security company, FM provider, cleaning contractor, IT business, maintenance company, recruitment business or another organisation supplying people into NHS and healthcare environments, we can help.
You concentrate on delivering the contract.
We'll help get your people appropriately screened and ready to deploy.
